Software of Excellence is running EXACT and OASiS information evenings in all major cities across Australia in July and August to help potential customers of their practice management software solutions understand the latest innovations.
"Computers and software are now an integral part of the dental business," said Jonathan Engle, General Manager of Software of Excellence Asia Pacific, "and a significant part of our job is to study and analyse what improvements we can make to help practices achieve more from our products."
The company's latest developments to OASiS and EXACT focus on helping practices to generate new patient and recall appointments.
A key part of this is giving practices the option to allow patients to book appointments online using a secure, online booking facility (Figure 1). When the patient books an appointment, it then automatically drops into the EXACT or OASiS appointment book and issues a confirmation to the patient.
"The beauty for the practice is that they remain in control of what appointments appear online," Mr Engle said. "Some people are seeking convenient ways to book appointments without the hassle of the multiple call backs and voicemail messages that often occur as patient and practice try and connect."
A new Recall Manager also allows practices to effectively manage recalls with the introduction of automated processes that can bulk send personalised email (Figure 2) and SMS messages. According to the company, recalls will be easier to complete, easier to manage and will prompt action from patients. Stronger reporting functions have also been introduced to track recall effectiveness.
Online Recalls, an extension of the Online Bookings functionality, integrates with the EXACT and OASiS recall engine. When completing automated recalls, a link in the SMS or email message takes the patient to a secure online booking facility displaying available appointments for their clinician(Figure 3).
This functionality allows the software to automatically recall the patient electronically and then allows them to select an appointment time of their choosing from a bank of available appointments set by the practice. When the appointment time is chosen, the OASiS or EXACT appointment book is automatically updated accordingly.
A new standby and short notice lists feature now helps proactively fill short notice cancellation slots without the added stress. The system matches and creates a priority list of standby patients for the available slot. The front desk can then issue SMS invitations one by one until a patient takes the appointment.
Finally, a new Patient Check Out feature creates checklists and then prompts front desk staff to capture important information about the patient as they leave the practice after their appoointment. This includes booking future appointments, claiming outstanding debt and updating medical histories.
"There are many new, ground breaking features in OASiS and EXACT that can genuinely help practices go to the next level," Mr Engle said. "By having a 'systems approach', we provide the operational capability to facilitate consistent management and this is where automation and processes become hugely important and add
considerable value.
